Our client is a small but high-volume and fast-paced firm that requires their new team member to have exceptional attention to detail, strong administrative skills, and a proactive approach. You will be the cornerstone of their daily operations, providing essential support to the legal team and ensuring the smooth functioning of the office. Key Responsibilities Executive Support: Managing calendars, scheduling meetings, and assisting with various administrative tasks for the principal lawyers. Office Management: Overseeing the day-to-day operation of the office, ensuring all necessary supplies and resources are available. Client Relations: Serving as the first point of contact for the office, demonstrating excellent interpersonal skills when answering phones, greeting clients, and managing correspondence. Document & Filing Management: Managing high-volume physical and electronic filing, maintaining an organized and accurate document control system. Financial Administration: Performing basic financial tasks, including preparing deposits for both Trust and General accounts and attending at the bank for deposit completion. General Administrative Tasks: Utilizing strong computer savvy to manage email, create and edit legal documents, and utilize practice management software. Workflow Coordination: Acting as an excellent multitasker to prioritize and manage multiple ongoing projects and deadlines simultaneously. Qualifications and Experience Proven Work Experience: three to five years’ experience as an Office Assistant/Administrator, preferably within a professional, white-collar boutique office setting (e.g., legal, accounting, finance, etc.). Exceptional Organizational Skills and a meticulous approach to detail. Strong Interpersonal and Communication Skills (written and verbal). Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy. Demonstrated ability to thrive in a fast-paced, high-volume environment. Ability to handle sensitive information with discretion and confidentiality.
