Location: Calgary, AB Department: Facilities & Services Reports to: Manager, Facilities Worker Type: Employee Schedule Type: Full Time Work Setting: In Office Trans Mountain is seeking a collaborative, motivated, and values‑driven individual to join our dynamic team as a Facilities Planning Specialist. In this position, you will play a key role in supporting all Facilities functions by maintaining office supplies, leading the project coordination and expenditure tracking. The role manages floor plans, supports safety and security programs, and collaborates with business units to plan facility upgrades and new office spaces. It is responsible for the budget estimates for furniture, furniture procurement and installation, and plans and executes office moves. The successful candidate will demonstrate strong organizational skills, understanding of budgeting and building process, and effective interpersonal skills. Key Responsibilities Lead day‑to‑day facilities management for corporate and field office buildings, ensuring safe, compliant, and efficient operations. Oversee building services and operations, including cleaning, security, access control, waste management, and common areas. Act as the primary point of contact for office facilities issues, coordinating service requests, prioritizing work, and resolving escalated concerns. Manage relationships with external vendors and service providers, including contracts, performance tracking, service‑level agreements (SLAs), and cost control. Ensure compliance with applicable health, safety, environmental, and building regulations (e.g., OH&S, fire/life safety, accessibility standards), and support inspections and audits. Lead renovations, office reconfigurations, and space optimization initiatives, including furniture moves, seating changes, and workplace upgrades with the Facility Manager’s support. Partner with internal stakeholders such as HR, IT, Security, Real Estate, and Corporate Services to support a positive employee workplace experience. Support the budget for facilities projects, including tracking operating expenses, forecasting costs, reviewing invoices, and identifying cost‑saving opportunities. Maintain accurate facilities documentation, including floor plans, occupancy data, contracts, permits, and compliance records. Mentor (or support) facilities coordinator, providing guidance on priorities, processes, and service standards. Identify continuous improvement opportunities related to sustainability, space utilization, employee comfort, and service delivery. Qualifications And Professional Experience Minimum High School Education is required. Post‑secondary education in Facilities Management, Business Administration, Operations Management, Building Technology, Property Management is an asset. 10+ years of progressive experience in facilities management, building operations, property services, or workplace services within a corporate or commercial office environment. Experience with AutoCAD is required. Facility Management Professional (FMP) designation is an asset. Demonstrated experience leading facilities operations across one or multiple office locations, including oversight of vendors, service providers, and building‑related services. Experience managing vendor contracts and service‑level agreements (SLAs), including performance monitoring, issue resolution, and cost control. Working knowledge of Alberta health and safety requirements, including OH&S, fire/life safety, emergency preparedness, and accessibility standards. Proven ability to support facilities budgets, including operating expenses, forecasting, invoice review, and identifying cost efficiencies. Strong organizational and problem‑solving skills, with the ability to prioritize competing issues in a fast‑paced office environment. Excellent communication and stakeholder‑management skills, with the ability to work effectively with employees, leaders, landlords, and service providers. Proficiency with facilities management, work order, or enterprise systems, as well as Microsoft Office (Outlook, Excel, Teams). Working Conditions Willingness and ability to travel as required.
