ABOUT THE ROLE We areseekinga polished, service-driven Client Experience & Administration Specialist to be the face of our luxury Presentation Gallery in Toronto. This role is integral to delivering an exceptional, high-touch experience for prospective purchasers, agents, and guests. You will act as the first point of contact, ensuring every interaction reflects the sophistication, professionalism, and attention to detail that defines our brand. This position blends client experience, front-of-house coordination, and administrative support within a fast-paced real estate sales environment. WHAT YOU'LL DO Client Experience & First Impressions Welcome clients and visitors with warmth, professionalism, and discretion, delivering a seamless and elevated arrival experience Offer premium refreshments andmaintaina refined, hospitality-driven environment Serve as the primary point of contact for all inbound client communication (in-person, phone, and email), ensuring prompt and attentive service Schedule and confirm appointments, coordinating with the Sales and Marketing team to prepare all relevant materials in advance Anticipate client needs and proactively enhance the overall guest experience Assistwith theaccuratecollection and entry of client information into internal systems Address client inquiries, concerns, or feedback with professionalism, escalating when appropriate Presentation Gallery & Front Desk Operations Maintain an immaculate, fully curated presentation centre reflective of a luxury brand standardat all times Answer and direct incoming calls while confidently responding to general project and community inquiries Manage CRM systems and contact databases, ensuring accuracy and completeness for sales and marketing initiatives Coordinate with cleaning, maintenance, and IT support to ensure seamless day-to-day operations Oversee inventory of marketing materials, office supplies, and promotional items, ensuringtimelyreplenishmen Marketing & Event Coordination Assistin the preparation and organization of marketing materials, brochures, and client welcome packages Support the execution of sales events, including RSVP tracking, setup, and presentation materials Operational & Administrative Support Prepare, review, andmaintainAgreements of Purchase and Sale, amendments, and related documentation with a high degree of accuracy Follow up with purchasersregardingoutstanding documentation, including deposits and required forms Maintain detailed records and ensure CRM data integrity Prepare daily and weekly traffic, activity, and reporting summaries for internal tracking and client-facing purposes Brand Representation Act as a brand ambassador, for both Market Vision and our developer client, consistently reflecting their values, professionalism, and luxury positioning in all client interactions Ensure the presentation centre experience aligns with the highest standards of quality, design, and service QUALIFICATIONS Strong Interpersonal and Communication skills Proven ability in Customer Satisfaction and Customer Service Experience enhancing Customer Experience through effective support and problem-solving Detail-oriented with excellent organizational and time-management skills Proficiency with common office tools, such as Microsoft Office Suite Previous experience in real estate, development or related industries is a strong asset Ability to work effectively in a fast-paced, team-oriented environment #J-18808-Ljbffr
