We are grateful to work on this land. RESPONSIBILITIES Coordinate all phases of event delivery, including planning, logistics, execution, and post‑event wrap‑up. Develop and maintain detailed project plans, timelines, and task trackers to ensure milestones are met. Liaise with internal stakeholders, vendors, venues, and partners to align on deliverables and expectations. Support budget tracking, invoice management, and cost control to ensure events are delivered within approved budgets. Oversee event logistics including venue setup, registration, materials, transportation, and on‑site coordination. Identify risks and proactively resolve issues to ensure smooth execution (RAID Log). Prepare briefing documents, run‑of‑show schedules, and stakeholder communications. Support sales, marketing and communications teams with event‑related deliverables for purchased event space (including invitations, attendee lists, collateral, etc.). Lead on‑site coordination during events, acting as a central point of contact for all parties. Conduct post‑event evaluations, gather feedback, and provide reporting with recommendations for improvement. JOB GRADE & SALARY Job Grade 1 – $24 per hour – June 2026 to October 16, 2026. WORK LOCATION Office Location: 350 King Street West, Toronto, ON M5V 3X5 Weekly in‑office requirements:• Minimum 2 days (November to April)• Minimum 3 days (May to October) MINIMUM REQUIREMENTS 2–5 years of experience in event coordination, project coordination, or a similar role. Strong organizational and time‑management skills with the ability to manage multiple priorities. Excellent communication and stakeholder‑management abilities. Detail‑oriented with strong problem‑solving skills and a proactive mindset. Experience managing vendors and external partners. Proficiency in project‑management tools (e.g., Smartsheets) and Microsoft Office Suite (Excel/PowerPoint). Ability to work flexible hours, including evenings and weekends, as required for events. Familiarity with budgeting and contract management. NICE TO HAVE Knowledge of event technology platforms (Registration Tools such as Talque, Salesforce CRM, Exhibitor Services & Event Operations Ordering Platform such as Espresso).
