Position Overview TIFF: The Market will expand TIFF’s presence as a global hub for screen-based storytelling and reinforce its role as a global entertainment industry leader. It will connect creators, buyers, and audiences, while elevating Canadian and international talent and fostering collaboration across film, series, and innovative content. Responsibilities Provide administrative support to the Exhibition Sales team. Assist with exhibitor outreach coordination, prospect research, and lead tracking. Support the preparation of sales materials, proposals, and exhibitor communications. Maintain CRM systems with accurate exhibitor data, pipeline updates, and documentation. Track contracts, agreements, and sales-related materials. Coordinate exhibitor onboarding processes, including registration, documentation, and requirements tracking. Support communication with exhibitors by coordinating timelines, deliverables, and key information. Assist in responding to exhibitor inquiries and escalating issues as needed. Maintain organized records of exhibitor interactions and agreements. Assist with exhibition floor coordination by maintaining booth assignments and tracking availability. Support the preparation and updating of floor plans and exhibitor lists. Coordinate booth logistics, including setup information, move-in schedules, and on-site requirements. Work with operations and production teams to support execution of the exhibition space. Assist with scheduling, logistics, and on-site coordination during the event. Provide on-site support to exhibitors, helping address questions and escalating issues when required. Help ensure exhibitor materials and requirements are delivered accurately and on time. Maintain accurate records of sales activity, contracts, and payments. Assist with tracking revenue-related documentation, invoicing, and reporting. Support data entry, pipeline tracking, and basic reporting as required. Liaise with internal teams (sales, marketing, programming, production, and operations) to support execution. Assist in coordinating communication and information flow across departments. Support team organization and project tracking. Assist with post-event follow-up, including exhibitor feedback collection and documentation. Maintain records and summaries to support future planning and improvements. Minimum Requirements Bachelor’s degree in Business, Marketing, Communications, Event Management, or related field (or equivalent experience). 1–3 years of experience in an administrative, coordination, or event support role. Strong organizational skills and attention to detail. Ability to manage multiple tasks and deadlines in a fast-paced environment. Strong written and verbal communication skills. Proficiency in Microsoft Excel and administrative systems (CRM experience is an asset). Ability to work collaboratively across multiple teams. Experience in events, exhibitions, or live environments is an asset. Availability to work flexible hours, including on‑site during event execution. Strong problem‑solving skills and ability to respond effectively in live event environments. Job Grade & Rate of Pay Job Grade 1 - $24/hourly. Work Location Office Location: 350 King Street West, Toronto, ON M5V 3X5. Minimum 2 days in‑office from November to April; Minimum 3 days from May to October.
