Opportunity We are looking for an accomplished Assistant Vice President to join our Company Secretarial team as part of our financial services business in Montreal. As part of our Montreal team you will: be responsible for drafting a high volume of detailed minutes of board and shareholder meetings from handwritten notes and/or meeting recordings and ensuring that all matters arising from such meetings are appropriately captured; ensure that junior team members draft minutes of their clients to a meticulous standard, monitor their performance, and provide supervision, mentoring, training and guidance in relation to the production of minutes from audio recordings and handwritten notes; perform other administrative and corporate secretarial tasks, such as coordinating, scheduling and attending board meetings telephonically, ensuring the efficient collation, preparation and distribution of board papers, draft minutes and resolutions; may also be asked to coordinate statutory and regulatory filings, electronically maintain statutory books and records; work well in a local and global team environment and be committed to meeting team and client deliverables, which may occasionally require overtime and weekends; exercise proactive and attentive relationship management; attend to a broad range and high volume of daily global team and client requests in tight timeframes; oversee daily operations with a view to maintaining workflow and applying high corporate governance standards in all areas. What You Bring In addition to undisputed high ethical standards and autonomy, the ideal candidate possesses the following: University or college degree; Previous minute‑drafting experience, or 2–3 years of experience with corporate/law structures is a must; Must be able to work independently, thrive at multi‑tasking and have strong problem‑solving, quantitative and analytical skills; Microsoft Word, Excel, PowerPoint and Outlook are a must; Knowledge of international corporate structures, investment funds, other offshore vehicles and Irish regulatory landscape is beneficial; If the candidate does not meet the above requirements, a commitment to undertake a course to gain a Chartered Secretary qualification may be required.
