The Senior Advisor, Contract Management, supports the organization in managing procurement contracts post-signature. You will work closely with Contract Owners across the institution to ensure obligations are met, performance is monitored, and renewals or amendments are proactively planned. This position supports the Procurement and Contract Management Services (PACS) team by providing contract management expertise and contributes to the development of contract management tools and best practices. Key responsibilities include: Contract Life Cycle Support Partnering with Contract Owners to plan and track contract obligations, deliverables, and milestones. Overseeing and monitoring contract performance and documentation of vendor activities throughout the life cycle of the contract; this includes ensuring adherence to the terms and conditions of agreements. Providing advice to Contract Owners with executing contracts, amendments and extensions, while mitigating risks to achieve planned contract outcomes. Advising and supporting Contract Owners by outlining implications and obligations implied by contractual terms and suggesting alternate courses of action. Stakeholder Engagement and Support Acting as a liaison between PACS, Legal Services, and other internal partners, ensuring consistency and alignment of contract management processes. Providing guidance and tools to support contract oversight and compliance. Responding to inquiries and support escalation of vendor issues when requested. Practice Development and Continuous Improvement Developing and updating contract management templates, checklists, and reporting tools. Identifying opportunities to improve contract lifecycle processes and support systems. Conducting audits to identify levels of contract risk, breaches of contract, and overall contract performance. Contract Record Administration Maintaining contract metadata and documentation in PeopleSoft Procurement Contracts module, with support from Purchasing Contract Coordinators. Ensuring expiry alerts and renewal notices are configured and monitored; and Coordinate updates to contract records following amendments or renewals. Skills Advanced knowledge of contract management and administration activities with an understanding of contract management best practices and procedures to develop new and improved standards and processes. Excellent interpersonal skills to build and maintain collaborative and effective working relationships with a range of stakeholders. Strong written and verbal communication skills, with the ability to interpret and explain rules, regulations, policies, and procedures. The ability to interpret contract terms, track obligations and identify associated risks. Strong research and problem-solving skills to accurately analyze situations and recommend effective courses of action. Meticulous attention to detail and ability to maintain consistency and accuracy in advising, reporting, researching, and investigating. The ability to practice and actively support a service-oriented and customer-focused approach to stakeholder relationships in a shared services environment. Strong organizational skills to effectively manage multiple projects and respond to changing priorities and deadlines. The ability to work with speed and accuracy and to use discretion and maintain confidentiality at all times. Familiarity with ERP systems including PeopleSoft. Familiarity with contract management systems such as Agiloft, Coupa, GEP, Icertis; and Strong skills in Microsoft Office suite, at a minimum Word, Excel, Outlook, and PowerPoint. Qualifications A minimum of a degree in business, legal studies, supply chain, or related field. A minimum of five (5) years of progressively responsible experience in contract administration, contract management, or vendor management. Supply Chain Management Professional (SCMP) or similar designation would be considered an asset. Coursework on contract law or Contract Management Certificate would be considered an asset. Experience in supporting contract development would be considered an asset. Operating in a PSI or other public sector setting would be considered an asset.
