Billing Coordinator You belong at Day & Ross. Full-Time, Temporary (6 month contract) Hartland, NB or Mississauga, ON (Hybrid) The Billing Coordinator is responsible for accurately preparing invoices, verifying billing data, maintaining organized records, and promptly responding to customer inquiries. The role also involves handling customer phone inquiries, collaborating with team members, and resolving any issues related to missing paperwork. Additionally, the position requires suggesting and implementing improved processes, collaborating effectively with other team members, contributing to setting up billing requirements with new customers, and performing any additional duties as needed. Transportation industry experience is preferred but not mandatory. How You’ll Help Prepare itemized statements, bills, or invoices accurately, ensuring that all services rendered are appropriately documented and recorded. Verify accuracy of billing data and promptly correct any errors. Maintain organized records of invoices and supporting documents for easy accessibility and reference. Promptly respond to customer inquiries regarding any issues with their accounts, demonstrating exceptional written and interpersonal skills while maintaining positive customer relations. Effectively handle customer phone inquiries, manage both print and electronic correspondence, and collaborate with team members, supervisors, and upper management. Follow up with drivers and customers to resolve any issues related to missing paperwork, ensuring that all documentation is complete. Actively contribute to the team effort by suggesting and implementing improved processes and innovative ideas for enhanced efficiency. Collaborate effectively with other team members within the department and the company to achieve common goals and objectives. Contribute to setting up billing requirements with new customers, ensuring smooth onboarding processes and accurate billing procedures. Flexibly perform any additional duties as requested to support the overall efficiency of the department and the company. Your Skills And Experience Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience. Previous Transportation or operational experience is preferred; various roles within transportation would be beneficial. Excellent verbal and written communication skills. Computer skills – accuracy, MS products including strong Excel skills; TMW or Truckmate experience an asset. Must possess the ability to learn new software. Demonstrated interpersonal and customer relationship skills. Strong analytical and problem solving skills, particularly numerical. Detail-oriented with the ability to work accurately in a high volume, fast paced environment. Troubleshooting and problem solving skills, the ability to evaluate current situation, respond quickly to changing requirements, execute and elevate accordingly. Strong organizational and time management skills, including the ability to work under pressure in a fast paced setting. Ability to multitask and prioritize in a deadline driven environment; appropriate sense of urgency. Ability to work independently and to collaborate with others to meet customer expectations.
