Job Description As an Office Administrator , you will play a key role in creating a welcoming, safe, and well‑functioning office environment across our Canadian locations. You will be the first point of contact for visitors and employees, supporting day‑to‑day office operations while contributing to an exceptional workplace experience. This role follows an on‑site work model, with an expectation of in‑office presence five (5) days per week during weekdays. Your Impact Welcome and direct clients and visitors in a cordial and professional manner. Answer phone calls through the MS Teams platform and respond to maintenance and security requests. Maintain, reserve, and help clean conference rooms while supporting client catering requests. Monitor logbooks, issue visitor badges, manage office supplies, and support workstation setup, staff lockers, and parking directions for personal and company vehicles. Distribute and manage security cards for staff, ensuring cardholder agreements are completed and signed, including employee arrivals and departures. Support the Facilities team with service request management across all offices. Maintain a clean, tidy, safe, and functional reception area. Manage the distribution and collection of mail, packages, invoices, and cheques. Maintain employee floor plans and support the use of Flowscape in designated offices. Provide general administrative support as requested by the Regional Facilities Manager. Manage coffee stations and support visitor user experience including Wi‑Fi access, monitors, and connectivity. Manage office supplies ordering and distribution and enter walk‑in complaints into the service register. Complete other assigned tasks as required. The Skills That Set You Apart More than one year of experience in reception or a similar administrative role. Excellent communication and interpersonal skills with a professional telephone manner. Ability to be proactive and provide courteous and prompt service to clients. Proven ability to handle sensitive and confidential information with discretion. Flexibility and ability to multitask effectively in a team environment. Intermediate working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook. Ability to communicate in French is considered an asset. Organized, accessible, able to recognize priorities, and able to work with minimal supervision while adopting a “Best for WSP” approach. Compensation AB, BC, NT, NU, SK & YT: $50,500 – $66,800 MB & ON: $46,000 – $63,400 NB, NL, NS, PE & QC: $45,600 – $60,500 Disclosure: The final salary awarded for this role may vary from the above range based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
