The Sales Coordinator – Major Accounts is responsible for ensuring flawless execution and follow-through for naturSource’s most important customer relationships. Supporting the CEO and VP of Sales on Tier 1 accounts, this role owns the tracking and coordination of commitments, documentation, launches, samples, follow‑ups, and deadlines. The objective is simple: no commitment to a Major Account is missed, delayed, or forgotten. This is a high‑accountability role requiring independence, judgment, organization, and urgency. The position reports directly to the CEO. This role is designed as a long‑term strategic support function aligned with naturSource’s most critical revenue relationships. Success requires discretion, discipline, and a commitment to operational excellence. Core Responsibilities 1. Commitment & Deadline Ownership Monitor communications with Major Accounts and capture all commitments and deliverables. Maintain a structured tracking system of open items, deadlines, and next steps for each account. Proactively drive internal follow‑up to ensure commitments are delivered on time. Escalate risks early if deadlines may be missed. Prompt the CEO or VP of Sales ahead of follow‑up dates, providing context and prior correspondence. 2. Opportunity & Follow‑Up Management Track all active opportunities within Major Accounts. Monitor sample submissions, meetings, product reviews, and agreed follow‑up timelines. Ensure no opportunity stalls due to missed follow‑up. Provide structured summaries of account status during scheduled review meetings. 3. Documentation & Administrative Execution Complete item agreements, listing forms, retailer portal submissions, and required customer documentation. Maintain accurate product information, certifications, and compliance records. Manage GS1 and retailer portal data for assigned accounts. Maintain organized digital files of contracts, contacts, submissions, launch documents, and historical communication. Draft and send professional status updates and follow‑up communications to customers. This role does not negotiate pricing or lead commercial discussions but ensures administrative execution is accurate, timely, and professional. 4. Sample & Internal Coordination Coordinate with Marketing, R&D, QA, and Production to prepare customer samples. Assemble and ship sample packages. Provide tracking details and delivery confirmations to customers. Monitor deliveries and prompt follow‑up if feedback is not received. Ensure internal teams are aligned on timelines and requirements. 5. New Product Launch Oversight (Major Accounts) Track committed launch dates for new products within Major Accounts. Proactively check in with R&D, QA, Production, and Marketing to ensure timelines remain on track. Flag risks early if launch deadlines may be impacted. Attend or review first production runs for Major Account launches where feasible. Conduct an initial verification that finished product aligns with customer commitments (packaging, specs, labeling, configuration). Take and archive photos of first production runs for documentation. Provide launch confirmation and product photos to customers when first produced. 6. Executive Operating Rhythm Consolidate questions and required inputs before scheduling review meetings. Operate independently without requiring constant direction. Prepare structured weekly check‑ins with clear summaries of open items, risks, and upcoming deadlines. Understand the organizational structure of each Major Account and know who to engage for specific matters. Profile & Experience This role is suited to a highly organized professional who thrives in a fast‑paced commercial environment and takes ownership of outcomes. The ideal candidate: Has experience supporting senior leaders or managing high‑value accounts. Is highly proactive and anticipates needs without being prompted. Is comfortable holding others accountable to deadlines, including senior leadership. Demonstrates strong follow‑through and attention to detail. Communicates clearly and professionally in English and French. Has experience in CPG, retail, food manufacturing, or customer‑facing operations.
