On behalf of our client, we have been retained on a newly created and very exciting Director of Operations role. Our client is a branch of an established family office with a multi-layered structure that includes a shared family office function across family members and the private family office for individual family members. We are seeking a motivated and capable director to join the private family office of one of the Principals. The Family office invests in a range of assets including public equities, funds and real estate. Role Overview The Director of Operations is a newly created leadership role responsible for the day-to-day operational management and leading of all legal, tax, governance and compliance workstreams of the family office. Reporting directly to both the Principal and the central family office leader, this role will manage the office's compliance, operations, governance, and administration, and will work very closely with Finance. The role would be the key interface with the central family office functions, which are shared across Principals, and the lead on all governance and operations matters. This role required excellent project management and multi-functional execution (tax, compliance, governance, operations, finance, investment operations, etc.). The successful candidate will own end-to-end execution. The Director will act as a trusted partner to the Principal and a key liaison with external advisers, investment managers, legal counsel, and tax professionals. Key Responsibilities Tax, Legal, Compliance and Governance Own the end-to-end governance and compliance agenda for the Principal including board meetings, filings, investment committee processes, tax reporting working closely with advisors and accountants Act as key legal internal lead for the Principal managing legal advisor relationships and legal workstreams. Lead in coordinating workstreams on tax planning in conjunction with external advisers and shared family office internal legal and tax support covering personal, corporate, trust, and cross-border tax matters Support broader family office governance efforts (e.g., Board meetings) Project manage all tax workstreams across investment entities, property assets and personal tax considerations Project manage the Principal’s interest in broader family office tax and compliance workstreams including management of inter-related party loans, distributions, property Operations & Administration Manage the operational infrastructure of the family office, including systems, processes, and vendor relationships Project manage all workstreams for the Principal, excluding private office workstreams Work closely with the Principal’s chief of staff, particularly in relation to property Implement and maintain internal controls, financial policies, and governance procedures Manage the insurance portfolio in coordination with brokers Lead or support special projects as directed by the Principal, including philanthropic administration, property transactions, and entity restructurings Drive operations for investments (e.g., set-up of SPVs, setting up reporting, interfacing with wealth managers) Finance interface Work closely with the Branch’s Finance team to support reporting for the Principal’s personal entities Oversee and project manage finance workstreams for the Principal in tandem with the central finance team Interface with the principal on all their financial matters in order to enable effective decision making working closely with the Branch Finance team and the Chief of Staff Work with Finance to manage accounting, banking, treasury, cash flow forecasting and liquidity planning across all accounts and relevant entities Technology Manage the outsourced IT service provider relationship Work closely with the Branch’s leader to deliver the IT roadmap Resourcing Drive the resourcing agenda for the Principal including potentially hiring additional people in legal Own performance management and HR processes for employees within the Principal’s private family office Candidate Profile Qualifications & Experience Experience either in legal tax at a family office tax advisory firm / relevant professional services / finance & operations / tax followed by experience in a broader role taking on management and 8+ years of relevant experience, ideally spanning a combination of professional services (Big Four, private client tax, corporate and tax law, or family office advisory) and direct family office experience Experience leading operational projects, with strong experience in project management Prior experience working directly with UHNW principals or senior family office stakeholders is highly desirable Personal Attributes Exceptional discretion and integrity — this is a role of significant trust within a private household Highly organised and detail-oriented, with a strong bias towards accuracy and thoroughness Confident, direct communicator who can present complex financial information to non-technical principals clearly Self-starter who operates well in a small, flat-structured team environment without bureaucratic support Collaborative and collegial, with the interpersonal skills to manage external advisers and internal staff effectively Commercially minded, with the intellectual curiosity to engage with the broader investment and business activities of the family Gilmore Partners is committed to providing equitable treatment and accommodation to ensure a barrier-free recruitment process.
