Victoria Park Medispa is seeking a Application Specialist as an integral member of the IT team and supports our Medispa clinics by researching, evaluating, configuring, and implementing new features and enhancements within the organization’s clinic management platform (Zenoti) and other business applications. This role focuses on early-stage functionality development, defining requirements, testing, configuring workflows, and preparing operational departments for adoption. Responsibilities include the creation of high-quality training content, planning field implementation, and coordinating smooth handover of mature features to operational owners. Once a feature or software solution is fully defined, tested, and ready for steady-state use, this role transfers responsibility to the appropriate operating teams.Key Responsibilities Application Management & EnhancementReview Zenoti release notes, updates, and new features to identify potential operational benefits.Research and evaluate new modules, functionality, and complementary software solutions.Perform feasibility assessments and provide recommendations to the Director of IT.Participate in vendor demos and discovery sessions related to emerging features and integrations.Perform on-site testing, configuration, and training – Must be available to travel 10-30%.Configuration, Testing & ImplementationConfigure early-stage features, workflows, and modules in alignment with operational and IT requirements.Conduct end-to-end testing, validate functional behavior, and document results.Prepare change-management deliverables including rollout plans, training materials, and implementation guidance.Coordinate with IT and vendors on integrations or technical dependencies.Training Content & Field Implementation PreparationDevelop high-quality training materials, including user guides, SOPs, video tutorials, and reference tools.Provide train-the-trainer sessions to operational leaders prior to field deployment.Support early implementation phases to ensure initial adoption and confirm system behavior.Handoff mature features to operational department owners once validated and stable.Project ManagementLead small to medium technology and application projects, including defining scope, timelines, and deliverables.Facilitate cross-departmental collaboration to gather requirements and communicate project status.Ensure project execution aligns with IT processes, documentation standards, and quality expectations.Support, Governance & Continuous ImprovementSupport issue identification during the testing or rollout phase and coordinate with vendors for resolution.Maintain configuration documentation, test scripts, and change logs.Identify opportunities to improve workflows, reduce manual work, and enhance data consistency.Ensure handoff of stabilized processes to operational teams is clear and documented.QualificationsBachelor's degree in information systems, Business Administration, Computer Science, or equivalent experience.2–5 years' experience in application support, systems analysis, or IT project coordination.Experience with Zenoti or similar clinic/spa/retail management systems preferred.Strong understanding of system configuration, workflow mapping, and requirements gathering.Excellent training, communication, and documentation skills.Experience testing, QA processes, and change management practices.Comfortable working across technical and non-technical stakeholders.The candidate must be able to communicate effectively in French and English in order to support operations at our sites in Quebec (60%) and to assist, guide, and collaborate with teams and managers located outside Quebec (Ontario, Manitoba, Alberta – 40% of sites).
