Under the supervision of a Proposal Supervisor, this role is responsible for the coordination of small to medium proposal, tender, and RFx submissions from bid/no‑bid decisions through final submission. In this role, you will work closely with Estimators, Operations, Business Development, and other internal stakeholders to lead the development of high‑quality, compliant, and competitive responses to our clients. This position is suited to an experienced proposal coordinator who can manage multiple priorities independently, contribute to written content, and demonstrate strong verbal and written communication skills in a deadline‑driven environment. What You’ll Do Here Independently coordinate small to medium RFx responses and support larger, more complex pursuits. Lead proposal kickoffs and coordination touchpoints, driving alignment on schedules, deliverables, and responsibilities. Review and shred RFx documents to identify deliverables, compliance requirements, risks, and key submission components. Build and manage detailed proposal schedules and proactively track inputs from cross‑functional contributors. Conduct thorough compliance reviews across proposal sections, identifying gaps and coordinating resolution. Manage document control, versioning, and submission logistics to ensure high‑quality, compliant submissions. Write and edit proposal content for small to medium RFx, tailoring responses to client requirements and evaluation criteria. Support development of win themes, value propositions, and executive summary content with guidance. Create and customize proposal graphics and layouts using PowerPoint and approved brand templates. Independently manage updates to proposal content libraries, ensuring version control and effective reuse. Support onboarding and informal mentoring of junior coordinators by sharing tools, templates, and best practices. Contribute to process improvements, lessons learned, and proposal performance tracking. What You Bring To The Team 2–4 years of proposal coordination experience, preferably within utilities, construction, or infrastructure. Proven ability to manage RFx responses independently in fast‑paced, deadline‑driven environments. Strong writing, editing, and proofreading skills with a client‑focused mindset. Advanced proficiency in Microsoft Word, PowerPoint, SharePoint, and Adobe Acrobat. Ability to analyze RFx requirements, identify risks, and proactively resolve issues. Strong stakeholder management skills and confidence working with estimating, operations, legal, and business development teams. APMP Foundation certification preferred; Practitioner certification considered an asset. Communications, Marketing, Journalism, Business degree, or equivalent professional experience. The expected salary for this position is $78,000-$85,000. Individual pay is determined based on several factors such as work location, education, experience and unique skills.
