Purpose of the Job Provide administrative support to Vice President, Operations and administrative needs as required. Responsibilities Serve as a trusted partner to the executive, managing day-to-day administrative and operational priorities with minimal direction. Proactively manage complex calendars across multiple time zones, prioritizing meetings based on strategic importance. Coordinate domestic and international travel, including itineraries, logistics, passports/visas, and expense reconciliation. Prepare executive-level materials including briefing decks, agendas, meeting notes, and follow-up action trackers. Act as a central coordination point between internal cross-functional teams (Operations, Engineering, Quality, Finance, HR) and external partners (consultants, contractors, vendors). Screen and prioritize communications, exercising sound judgment on urgency, sensitivity, and escalation. Track key deliverables, deadlines, and commitments to ensure follow-through and accountability Support preparation for executive meetings, interviews, board interactions, and site leadership engagements. Handle confidential and sensitive information with the highest level of professionalism and discretion. Anticipate needs and identify opportunities to improve efficiency, organization, and executive effectiveness. Education & Experience DES or equivalent / Administrative Assistant diploma Experience Required 6-10 years of senior administrative support Skills Required Fluently bilingual, spoken and written Knowledge in MS Project (preferred) Excellent communication and interpersonal skills, and capable of managing confidentiality Very organized and attention to detail Self-motivated, flexible and adaptable to changes and new concepts Salary ranges from $48,237 to $80,396 depending on education level and years of experience.
