Key Responsibilities Assist with commercial real estate transactions from start to finish, including purchases, sales, leases, financings, and refinancings. Draft, revise, and review transaction documents, including purchase and sale agreements, leases, security documents, and related agreements. Prepare closing agendas, closing books, transaction summaries, and closing documentation. Conduct title, corporate, PPSA, and off-title searches, and prepare concise due diligence summaries. Prepare and revise requisition letters, reporting letters, lender documentation, and other closing-related materials. Draft e-reg documents and instruments using Teraview, including obtaining parcel registers as required. Coordinate mortgage discharges, renewals, and communications with financial institutions. Support land development and commercial leasing matters, including renewals and amendments. Open, maintain, and organize files, ensuring file data and transaction records are accurate and up to date. Assist with billing, including time entry, pre-bills, final invoices, cheque requisitions, and wire documentation. Help manage lawyer practices by tracking deadlines, maintaining active file and closing lists, coordinating meetings, and organizing documents. Maintain calendars, schedule meetings, manage client communications, and update CRM and business development activity records. Provide general administrative support, including correspondence, scanning, expense management, and team coverage during absences or busy periods. Qualifications 2–5 years of experience as a Real Estate Legal Assistant, ideally within a commercial real estate group. Hands-on experience supporting transactions from opening through closing. Strong working knowledge of commercial real estate documentation, closing processes, and due diligence requirements. Strong technical skills with proficiency with Teraview, title searches, PPSA searches, and related real estate systems. Excellent organizational skills with the ability to manage multiple files, deadlines, and competing priorities.
