Role DescriptionThe AI & Digital Innovation team is scaling from a small founding team to a program-driven delivery function. With multiple AI initiatives, vendor engagements, and cross‑BU stakeholders, the Program Manager, Engagement Lead, and solution owners need an analyst who keeps the underlying work, data, and processes organized and visible. This person will: Help bring structure to how work comes in, gets triaged, and gets tracked Support the Program Manager in keeping the AI roadmap on rails across multiple concurrent initiatives Maintain the trackers, dashboards, and data feeds the Program Manager, Engagement Lead, and solution owners use to tell their stories Document team‑internal processes, help fill gaps where none exist today, then automate repetitive parts using low‑code tools or AI‑assisted coding ResponsibilitiesWork Management & Program Operations (35%)Keep the intake queue, triage, and tracking of AI requests and initiatives running smoothly in ClickUp; the Program Manager sets priorities Maintain status visibility (dashboards, weekly updates, blockers, dependencies) for the Program Manager and Director Help track deliverables against quarterly roadmap targets, with the Program Manager driving prioritization Keep team documentation current: decision logs, meeting notes, process maps, runbooks Coordinate logistics with vendors, contractors, and internal stakeholders to support delivery timelines Measurement & Analytics (30%)Program Health (Initiative-level): support the Program Manager, maintain portfolio and spend trackers, pull budget‑vs‑actual, vendor SOW burn, and headcount data on request Product Analytics (Solutions): support the Architect and development team, pull usage, adoption, and performance data from telemetry the dev team instruments; maintain the ROI data ledger with inputs from initiative owners Engagement Analytics (People): support the Enablement & Engagement Lead, maintain the data feeds, adoption trackers, and champion leaderboard; provide data for program impact reporting (workshop impact, adoption trends, BU coverage) Process & Automation (20%)Document team‑internal workflows: intake, triage, runbooks, team rituals Surface gaps where no internal process exists; propose lightweight workflows for the team to adopt Identify repetitive manual work and build automations (Power Automate, Python scripts, AI‑assisted tools) once processes are stable Help build and maintain dashboards across the three measurement areas above Standardize templates and workflows for recurring team activities Prototype lightweight internal tools to reduce friction in day‑to‑day operations Program Support (15%)Support the Director in preparing materials for leadership updates and planning cycles Help track hiring pipeline status, onboarding logistics, and team operations Assist with workshop and enablement event logistics when needed Experience and Qualifications2‑5 years of experience in program coordination, operations, project management, or business analysis Strong organizational skills: brings order to chaos Comfortable with project management tools (ClickUp, Jira, Asana, or similar) Comfortable with numbers: can build and maintain budget trackers, cost models, and ROI data (Excel/Sheets proficiency expected; doesn't need to be a finance major) Technically curious: uses AI tools daily (Claude, ChatGPT, Copilot) and can build small automations with AI assistance Solid written communication: writes clear status updates, process docs, and stakeholder summaries Based in Toronto/GTA, willing to work hybrid Preferred or additional experience: Tracking program or project budgets, vendor costs, or operational spend Building usage/adoption dashboards or product analytics (Excel, Power BI, Looker) Experience with Microsoft Power Platform (Power Automate, Power Apps, Power BI) Basic Python or scripting ability (or demonstrated ability to build with AI assistance) Familiarity with Azure, Microsoft 365 ecosystem, or enterprise IT environments Real estate, financial services, or asset management industry background Experience supporting AI/ML or data teams (even without being technical yourself) Compensation & BenefitsExpected annualized base salary range: $90,000 – $105,000.
