Corporate Services Manager Your Position & How You Will Contribute Reporting to the VP, Business Enablement & People, the Corporate Services Manager owns telMAX’s real estate, facilities, fleet and health & safety, combining strategic planning with hands‑on office delivery. You’ll run the offices day‑to‑day to keep workplaces safe, welcoming and efficient. Key Responsibilities & Duties Real Estate & Facilities Actively manage telMAX’s leased and owned property portfolio to ensure appropriate capacity over the medium term. Develop and maintain a multi‑year real estate strategy in consultation with business leaders. Support acquisition and fit‑out of new offices and premises. Lead leasehold improvements and coordinate with landlords, design and construction teams and external contractors. Manage third‑party suppliers for facilities, including cleaning, security, M&E and AV/printers, with contract and SLA ownership and vendor performance management. Fleet Management Manage the vehicle portfolio, including procurement, allocation, maintenance scheduling, repairs and lifecycle matters, to meet operational needs. Administer and improve vehicle‑use policies, driver authorization processes and fleet and fuel card controls. Maintain driver records and compliance, including licence validity, demerit points and authorizations. Oversee the vehicle safety program: scheduled and ad‑hoc inspections, key control and spare‑key storage, seasonal servicing and travel permissions. Deliver driver safety initiatives, including advanced driver training and incident investigation support. Own the administration aspects for fleet and premises, including insurer liaison and claims administration. Health & Safety Lead telMAX’s Health and Safety program for corporate sites, developing, implementing and improving policies, procedures and programs to meet legislative requirements and good practice. Act as Secretary and administrator for the Health and Safety Committee: schedule meetings, prepare agendas, record and distribute minutes, and track actions. Plan, coordinate and deliver H&S training and orientations; maintain H&S records and ensure required postings and documentation are kept current. Own emergency planning and response for corporate facilities: maintain site‑specific emergency plans, run and document drills, review and update plans and communicate requirements. Coordinate stay‑at‑work and return‑to‑work activities, assist with modified work assignments and support workers’ compensation follow‑up where required. Office Operations and Employee Experience Run the day‑to‑day office experience: stock snacks and supplies, manage meeting rooms and reception, handle mail and visitors, coordinate office moves and space allocation, and oversee cleaning, catering and other onsite services. Liaise with IT to ensure employees have appropriate IT equipment and access at each site. Manage provisioning of workstations, AV and other third‑party office equipment. Maintain asset and inventory registers for office equipment and fleet and run periodic audits. Control physical security and support onboarding: equipment setup, ID cards, access to offices and applications. Travel between offices in York Region (rare, as needed). In the event of an on‑site emergency, the role is expected to respond and tend to the issue. What You Bring 1‑3 years working as an Office Manager, Office Coordinator, Senior Administrative Assistant, or in a similar office‑facing role. Proven ability to manage multiple priorities across sites, keep accurate asset and inventory registers, coordinate office moves and space allocation, maintain meeting room and reception schedules, and run onboarding equipment setups. Experience supporting H&S committees or safety processes, maintaining records and coordinating training or drills. Full ownership of H&S programs is not required at hire, but you should be comfortable administering and improving H&S processes. Basic exposure to fleet admin (for example, scheduling maintenance or working with fuel cards) is a plus, but not required. Strong skills in Excel and Microsoft Office. Proven ability to execute and deliver results in a timely and efficient manner. Excellent written and verbal communication skills. Demonstrated experience in managing inventory. Strong analytical, critical reasoning and problem‑solving skills. Naturally results oriented and comfortable working in an environment that is rapidly changing. Proficiency in utilizing metrics to manage operations and drive continuous improvement. Prepared to make recommendations for change and drive the same. Valid driver’s licence and ability to travel between offices in York Region. Education Bachelor’s degree in Business, Business Administration, Commerce, Administration or a related field, or a college diploma or equivalent practical experience.
