POSITION NATURE AND SCOPE: The Executive Assistant provides high-level administrative support to the Interim Co-CEOs, providing sophisticated administrative and operational support. This role is designed to elevate the Executive Office by managing complex communications, developing critical briefing materials for stakeholder relations, managing schedules and serves as a liaison between executives and internal or external stakeholders, ensuring smooth day-today-operations. The Executive Assistant also serves as a liaison to the Board of Directors and Senior Management team. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. RESPONSIBILITIES High-Level Executive Support Strategic Calendar Management – maintain and coordinate the interim Co-CEO’s comprehensive calendars, ensuring alignment with organizational priorities. Briefing and Preparedness – prepare robust daily and weekly briefings, including detailed schedules, relevant materials and identified priorities to anticipate needs for all upcoming engagements. Travel & Engagement Logistics – Coordinate complex travel and logistics for professional commitments, including conferences and high-profile speaking engagements. Executive Access – act as the primary point of contact for the Executive Office, triaging inquiries and managing access with high levels of discretion. End-to-End Meeting Coordination – orchestrate all aspects of executive-level meetings, including room bookings, technology set up, hospitality and seamless integration of virtual and in-person participants. Executive Communications and Stakeholder Engagement Strategic Correspondence – draft executive messages, talking points, formal letters and briefing notes on behalf of the Co-CEOs. Government and Partner Relations – develop specialized materials and briefing notes for high-stakes meetings with Government, funders and corporate partners. Public Profile Support – assist in preparing written content that highlights activities and organizational impact. Governance & Board Support Board Coordination – support the Board Chair and Interim Co-CEOs by coordinating Board and Committee meetings, preparing agendas and drafting precise minutes. Action Tracking – diligently track Board-related action items to ensure timely follow up and accountability. Records Management – Assist with Board onboarding, maintaining governance records, and managing contracts relevant to the Executive Office. Strategic Research and Project Support Deliverables Tracking – monitor deadlines and deliverables for strategic initiatives to ensure organizational commitments are met. Presentation Development – create high-quality materials for presentations, reports and various organizational projects. Operational and Administrative Coordination Administrative Oversight – support essential organization-wide functions, including document systems, vendor contracts, purchases and office supplies. Examples include managing inter-office courier, placing, tracking nd receiving vendor supplies, cell phone acquisition, distribution, and contract management. Facilities Liaison – Serves as a point of contact for building management and external vendors regarding administrative operations. Other duties as deemed and required and necessary. QUALIFICATIONS Required 2 plus years of experience supporting a CEO or senior executive. Communication – exceptional writing and editing skills, with the ability to draft professional briefing notes and executive correspondence. Discretion – proven ability to manage confidential information and exercise high-level judgment and discretion when interacting with government officials and Board directors. Technical Proficiency – advanced skills in Microsoft Office and digital collaboration tools Sector Knowledge – preferred experience in non profit or public sector, with an understanding of governance processes and immigrant-serving community work.
