Job Summary This position works directly with the technicians, outside sales team, national accounts department and customers. As a part of the service department, you will work with this group to generate quotations and estimates based upon information received. The Quotations Specialist remains involved in a job to help maintain the profit margin and to handle any changes in the original estimates while maintaining the highest level of customer satisfaction and balancing financial goals consistent with the needs of both the corporation and the customer. They will gather information, format each submission according to company/customer guidelines, and assist in pursuing, tracking and forecasting opportunities. Key Responsibilities Respond to demand requests and recommendations via XOi, email, and phone. Maintain supplier and vendor relationships to monitor pricing and negotiate rates. Support opportunity management, administration, tracking, and forecasting. Prepare and distribute detailed, contract‑compliant quotations and follow up as needed. Upload or submit quotations through required portals or channels. Generate and prepare work orders upon customer approval and coordinate with technicians and service coordinators. Track and maintain records of all quotations (approved, pending, rejected). Collaborate closely with service technicians and internal teams to meet customer commitments. Provide backup support for departmental routines and facilitate communication across teams and subcontractors. Assist reconcilers and billing to ensure work aligns with quoted scope and profit expectations. Support business development, contracts, and identification of new business opportunities. Recommend and implement process improvements. Review products, services, and business ideas; develop strategies to influence stakeholder action. Prioritize tasks, revise submissions based on feedback, and complete contract templates when required. Qualifications 2+ years experience in a similar role with strong industry experience. Experience with RFP/RFQ processes, an asset. Strong knowledge of Microsoft Office applications, particularly MS Excel and PowerPoint. Excellent verbal and written communication skills in English. Ability to communicate effectively across all levels of the organization. Demonstrates a high degree of creativity, autonomy, flexibility, and attention to detail. Able to work under pressure and adjust quickly to changing priorities. Industry experience in technical trades, an asset. Compensation The salary range is $50,000.00 - $90,000.00 per year. Actual salaries will vary based on factors such as education, experience, knowledge, skills, and abilities, as well as alignment with market data.
