Proposal Coordinator – Construction Location: Greater Toronto Area About the Role Reporting to the Proposal Manager, the Proposal Coordinator will support the full proposal development process from RFP review through to final submission. They will coordinate internal teams, manage proposal documentation, and assist in creating visually engaging and compliant submissions. This role is ideal for a detail-oriented professional with strong organizational, writing, and design skills who thrives in a deadline-driven environment. Key Responsibilities Proposal Coordination & Development Support the RFP review process including requirements analysis, timelines, and risk identification Develop responsibility matrices, coordinate kick-off meetings, and gather required documentation (bonding, insurance, schedules, etc.) Ensure proposals are compliant with RFP/RFQ requirements and aligned with company standards Assist in coordinating proposal reviews and ensure accuracy, completeness, and consistency Content Creation & Design Translate proposal vision into clear layouts and visuals using Adobe InDesign and related tools Assist in developing graphics, formatting, and visual communication strategies Prepare, edit, and proofread proposal content for accuracy, grammar, and formatting Documentation & Systems Management Maintain and organize proposal files, templates, and historical data Update and manage CRM systems with relevant opportunity and proposal information Ensure all proposal documentation is properly stored and accessible Collaboration & Support Work closely with the Proposal Manager and internal teams to gather content and meet deadlines Assist with updating project profiles, marketing materials, and employee resumes Participate in internal review sessions to ensure high-quality submissions Support additional tasks as required to meet team and organizational objectives Qualifications 1–2 years of proposal coordination or related experience in a professional environment Post-secondary diploma or certificate in Marketing, Communications, or Administration preferred Experience in the construction industry considered an asset Proficiency in Adobe InDesign and Microsoft Office Suite Strong writing, editing, and proofreading skills Excellent organizational and time management abilities Strong attention to detail and ability to manage multiple deadlines #J-18808-Ljbffr
