About The Role We’re hiring an Office Administrator to support our ready‑to‑eat facility (Factor) in Mississauga. In this role, you will organize and coordinate office procedures and support the office with high levels of customer service in administration. Your role is to create and maintain an environment where employees can do their best work in an effective, professional, and safe setting. The Office Administrator should ensure the smooth running of the office and help to improve company procedures and day‑to‑day operations. What You Will Be Doing Develop processes to improve overall office operations Assist HR & Staffing teams with onboarding new hires and set‑up of the orientation room Coordinate promotional materials to promote HelloFresh activities Provide administrative support to on‑site leadership team Act as a gatekeeper while receiving guests, courteously providing and receiving information Manage site indirect procurement activities—including office supplies, snacks, and general materials—while ensuring timely execution and accurate reporting of all purchases. Manage site access with key cards and visitor logs Address employees queries regarding office management issues (e.g., stationery, hardware and travel arrangements) Plan in‑house or off‑site activities, such as parties, celebrations, swag distribution and conferences Work in compliance with OH&S acts and regulations Create and distribute email communications to hourly team members about Town Halls, surveys, and organizational updates Manage absence tracking and job abandonment follow‑ups Own and manage operations‑based reports Use personal protective and safety equipment and clothing as directed by the employer and report workplace hazards and dangers to the supervisor or employer Other duties as assigned At a Minimum, You Have Exceptional communication, interpersonal, and problem‑solving skills 2+ years of work experience in a related office coordinator, customer service, and/or assistant position Proficiency with Google Apps (Gmail, Docs, Sheets), Microsoft Suite and video conferencing GED/HS diploma required; Bachelor’s degree preferred Ability to prioritize, remain calm, and stay alert while multitasking in a fast‑paced and deadline‑oriented environment Flexibility to work overtime, weekends, evenings and holidays as required What You’ll Get In Return Competitive salary and health benefits Shift premiums available for afternoon and overnight shifts 75% discount on HelloFresh or Chef’s Plate weekly box subscription High‑impact work to help feed thousands of families in Canada Opportunity to learn and grow Work with a hard‑working and supportive team Working Conditions As a food company, we use ingredients that may be considered common allergens (peanuts, tree nuts, milk, etc.).
